We are a well established firm of chartered accountants, CA students, and accounting specialists. We provide accounting, tax and consulting services to a diverse groups of clients, primarily locally, with some across Canada including professionals (physicians, engineers, etc), construction businesses, non-profits, small and medium-sized businesses.
We pride ourselves on delivering quality service that exceeds client expectations. This new role will be accountable for the administration services at the Firm. We're conveniently located in a bright, spacious office in the Jericho Village at 4th and Alma in Kitsilano.
Job Summary
Reporting to the President, and a member of the management team, this role plans, organizes, and manages timely completion of the Firm's administration support services. We are seeking an Office Manager that shows initiative and takes pride and ownership of their work. You will supervise an Administrative Assistant/Receptionist and act as the point person for all office needs, including developing new or improved office methods and processes to improve efficiency. As coordinator for staff and management meetings, your ideas, suggestions and recommendations are welcomed.
Supporting our business objectives will include managing the client control master log that tracks incoming and outgoing client tax information. You will produce client reports and effectively manage internal processes to meet all tax due dates, and maintain accurate databases. Managing the Caseware Time system will involve ensuring staff time is correctly coded, drafting invoices for year-end packages, and completing annual cleanup. You will maintain the yearly schedule of activities and work with the management team to assure timely coordination of activities.
Skillset
As a positive professional with completion of post secondary education in business administration, you have a minimum of five years experience including two in a supervisory capacity. Working knowledge of tax processes in a similar Firm is a definite asset. A high level of computer literacy (MS Word, Outlook, Excel) including databases is essential.
You have strong interpersonal, supervisory, and verbal communications skills, and solid ability to develop written communication and letters. You're highly motivated and organized and use sound judgment and a positive approach to solving problems. Prioritizing projects and multiple tasks in order to effectively meet timeline requirements are second nature to you.
